We found a place to get married, have the reception and host all of the guests (and are (were?) so in love with every aspect of it).
but the event coordinator that we've been working with, apparently isn't there any more. her replacement emailed us, to let us know that he is now in her position, and is familiarizing himself with the details of our account and looks forward to meeting with us.
Of course, we have the same general concerns that anyone would have - since last october we had arranged almost every detail of the contract with her, and were waiting to have the final tasting of the menu items, before signing. but she was not very organized with her notes, so we worry about information having been lost and forgotten. Or that we’ll have to start from the beginning with the new guy anyway.
We are also concerned because it was clear to us that the venue has not ever been used for a gay marriage / civil union event. But the woman we were working with was very open minded, and treated us like valuable clients, and we never felt like we were "other".
and now, we're not sure how that's going to work out with the new guy. we've decided not to worry until we have reason to, but...it would be disasterous if this didn't work out for us at this point!

Being the first or not first civil union at a location really isn't a big deal so long as the venue has lots of experience dealing with weddings in general, and so long as the people you work with make you feel comfortable.

I'd give this new guy a chance to win you over - he might be delightful to work with. Don't start worrying about problems with people unless they come up! The fact that you say civil union makes me think you're in Vermont, and when we had our civil union 2 years ago, EVERY PERSON we worked with in the rural small town was absolutely fantastic.

I think the bigger concern by far is "what did the previous planner just have in her head"?? If you didn't put everything you talked about in writing at the time, then yes, you'll basically have to start from the beginning. I do think this is extremely poor business practice on part of the previous coordinator... this is a big no-no. I would go very carefully over ALL of the things that the previous coordinator told you they could/would do, with the new coordinator.

I just wanted to check back in - the meeting with the new coordinator went better than expected, and were we ever surprised when the new guy - Kyle - introduced herself to us! We had only emailed before meeting in person, and from the name, expected a guy...

funny funny. but in the end, it turned out we didn't have to worry, Kyle has been great (so far - knock on wood) with working with us!
